AI Automation for Small Business

Your business has repetitive work.
We automate it.

Practical AI systems that save small businesses time, reduce costs, and capture more business — without the tech overwhelm.

No jargon. No obligation. Just honest answers.

Save Time

Stop spending your evenings catching up on follow-ups and admin. We automate the repetitive work so your team can focus on the things only humans can do.

Reduce Costs

Every hour your team spends on manual admin is an hour you're paying for something a system could do for pennies. We make the numbers work in your favour.

Capture More Business

Slow or missed responses are the single biggest source of lost revenue for small businesses. Automated follow-up means no lead falls through the net — ever.

AI Phone & Email Handling

AI-powered telephone systems answer calls out-of-hours, capture messages, and trigger automatic follow-ups. AI email drafting helps your team respond to enquiries faster — turning brief notes into professional replies across Gmail and Outlook.

Automated Reporting & Marketplace

Financial data from Xero, QuickBooks, and your CRM formatted into dashboards automatically — no spreadsheet wrangling. Selling on Amazon? We automate Seller Central tasks so your marketplace runs without you being buried in manual admin.

Booking & Scheduling

Back-and-forth scheduling is one of the biggest time drains in any service business. We connect your calendar to your website, phone system, and enquiry flow so clients book themselves — and automated reminders go out to cut no-shows and keep your diary full.

App overload is real

One system.
Not six apps.

Most small businesses are stitched together with disconnected tools — a booking app here, a CRM there, invoicing somewhere else, and a phone system that talks to none of them. Every handoff is a potential drop.

We design central automation hubs that connect — or replace — the apps you're juggling. One place where your enquiries, bookings, follow-ups, and reporting all flow together. Something you own and control.

Typical app stack we replace or connect

📅 Booking & scheduling tool
📧 Email & follow-up system
📞 Phone & voicemail handling
💰 Invoicing & payment chasing
📊 Reporting & dashboards
🤝 CRM & client records

↓ All of this. One connected system. ↓

Sound familiar?

You built your business to serve customers — not to spend half your week answering the same emails, chasing invoices, or trying to remember who you haven't followed up with yet.

You know automation is probably the answer. But you've looked at the tools and it all feels complicated, expensive, and like a project you'll "get to someday."

That's where we come in.

Here's what we do instead.

At Emmett Automations, we don't sell you software and leave you to figure it out. We design, build, and manage automation systems that fit around how your business actually works.

We start by understanding your specific operations. We identify where the time and money is leaking. We build the system. We launch it. Then we keep it running.

You get time back. Your team gets off the hamster wheel. Your business starts capturing opportunities it was missing.

What We Automate

There's almost no limit to what can be automated — but the most valuable place to start is always where your time is leaking and where customers are slipping through the net. Here are the areas where small businesses see the biggest impact fastest.

Category 01

Lead Follow-Up and Enquiry Response

Someone fills in your contact form at 10pm on a Saturday. Without automation, they hear nothing until Monday. By then, they've called three other businesses.

We build systems that respond instantly — acknowledging the enquiry, qualifying the lead, booking a call, or sending a personalised follow-up — the moment a new enquiry arrives. Whether leads come in from your website, Facebook, Google, email, or phone, no one falls through the net.

Typical results: Average response time reduced from hours to minutes. Enquiry-to-booking conversion rates improved by 20–40%.

Category 02

Appointment and Booking Management

Back-and-forth scheduling is one of the most common time drains in a service business. We connect your booking system to your calendar, automate confirmation emails, send reminders 24 hours and 1 hour before appointments, and trigger follow-up after the appointment is complete.

No more no-shows from clients who forgot. No more double-bookings. No more three-email threads to find a time.

Works with: Calendly, Acuity, Google Calendar, Square, Jane App, and most major booking platforms.

Category 03

Customer Onboarding and Intake

Every new client needs the same information collected, the same welcome email sent, the same documents signed, the same account set up in your system. That's a lot of identical work repeated dozens of times a year.

We automate new client onboarding so the right information is collected, the right documents are sent, and the client is welcomed professionally — without you lifting a finger.

Typical results: Hours of admin per new client eliminated. Consistent, professional client experience from day one.

Category 04

Review and Reputation Requests

Google reviews are one of the most powerful drivers of new business for local service companies — and most businesses are terrible at asking for them consistently.

We build automated review request sequences that trigger after a job is completed or a service is delivered, sent via email or SMS at the right moment, with a simple one-click link to your Google Business Profile.

Typical results: Review volume increases 3–5× within 60 days of launch.

Category 05

Invoice Follow-Up and Payment Reminders

Late payments cost small businesses thousands of dollars a year — not just in cash flow, but in the awkward time spent chasing money. We automate payment reminders that go out before the due date, on the due date, and after it — professionally worded, timed appropriately, without you having to remember or feel uncomfortable.

Works with: QuickBooks, Xero, FreshBooks, Wave, HoneyBook, and most accounting platforms.

Category 06

Re-Engagement and Win-Back Campaigns

Every business has a list of past customers who haven't come back. And every business knows that re-engaging an existing customer is significantly cheaper than acquiring a new one.

We build automated re-engagement sequences that reach out to lapsed customers at the right interval, with the right message, triggered automatically based on their last purchase or appointment date.

Typical results: 10–25% of lapsed customers re-engage within 90 days of a properly timed sequence.

Category 07

Internal Notifications and Team Coordination

Not all automation faces outward. Some of the most valuable time savings come from eliminating internal communication waste — the "did you see that enquiry?" message, the manual update to a shared spreadsheet, the reminder to complete a weekly report.

We build internal notification systems that alert the right team member when a trigger event happens, update records automatically, and keep everyone in the loop without anyone having to do it manually.

Works with: Slack, Microsoft Teams, email, SMS, Google Sheets, Notion, and most CRM platforms.

Category 08

Reporting and Business Intelligence

Do you know exactly how many leads came in last month, how many converted, how long each stage took, and where the drop-off happened? Most small businesses don't — because pulling that data takes too long.

We build automated reporting dashboards and scheduled report emails that give you a clear view of your business performance without any manual work.

Typical results: Business owners recover 2–4 hours per week previously spent compiling reports.

Category 09

Amazon Marketplace Automation

If you sell on Amazon, you know how much time disappears into Seller Central — updating listings, processing orders, chasing reviews, monitoring stock levels, watching competitor prices. Most of it is repetitive, manual, and avoidable.

We build automation systems that handle the routine Seller Central workflow for you: product listing optimisation based on performance signals, order confirmation and fulfilment triggers, automated post-purchase review request sequences, inventory alerts that fire before you run out, and competitor price monitoring with alert workflows that keep you informed without manual checking.

✓ Product listing optimisation (titles, descriptions, keywords)

✓ Order processing and fulfilment trigger automation

✓ Automated post-purchase review request sequences

✓ Inventory alerts and reorder triggers

✓ Competitor price monitoring with alert workflows

✓ Seller Central report extraction and summarisation

Best for: small businesses selling on Amazon who spend hours on manual Seller Central tasks.

Category 10

Email AI Drafting and Response

Business owners and their teams spend an average of 2–3 hours per day on email. A large proportion of that time goes on responses that follow predictable patterns — quotes, booking requests, complaints, FAQs. That pattern is exactly what AI handles well.

We build AI-assisted email systems that work directly inside Gmail (Google Workspace) and Outlook (Microsoft 365). AI drafts replies from bullet points or brief notes. Smart triage automatically labels and prioritises incoming email. Follow-up sequences trigger based on email events. Common enquiry types get draft responses surfaced before you've even opened them.

✓ AI-assisted email drafting from bullet points or brief notes

✓ Smart reply suggestions based on incoming email content

✓ Automated inbox triage and labelling

✓ Follow-up sequences triggered by email events

✓ Draft responses for quotes, bookings, complaints, and FAQs

✓ Works with Gmail (Google Workspace) and Outlook (Microsoft 365)

Best for: business owners and teams spending 2+ hours per day on email who want to respond faster without hiring more staff.

Category 11

AI Telephone Answering — Conversational, Not Robotic

This is not an IVR menu. The AI answers calls and holds genuine conversations — callers can ask questions, change their mind mid-call, and get answers without pressing numbered menus. Built on platforms like Vapi and Bland AI, the voice sounds natural and responds to what the caller actually says rather than forcing them through rigid scripts.

Every missed call is a missed opportunity. Trades businesses, healthcare clinics, and professional services lose customers every day to unanswered phones — calls that come in outside business hours, during a job, or when the team is simply too busy to pick up. An AI phone agent handles these calls the way a well-briefed receptionist would: listening, responding intelligently, and making sure nothing falls through the net.

✓ AI phone agents that answer, qualify and book calls — 24 hours a day, 7 days a week

✓ Natural conversation handling — the AI responds to what the caller says, not just keywords

✓ Out-of-hours call capture so no enquiry is lost overnight or at weekends

✓ Missed call SMS or email follow-up triggered automatically

✓ Call transcription and summary delivered to your inbox after every call

✓ Handoff to a human when the caller needs it — seamlessly

✓ Custom voice and persona matched to your business tone

✓ Integrates with your existing booking system, CRM or calendar

Target: Any business that misses calls, has out-of-hours enquiries, or pays staff to answer repetitive questions.

Category 12

Business Data and Reporting Automation

Do you know your cash position right now without opening a spreadsheet? Does your month-end report write itself, or do you spend the last Friday of every month pulling numbers from three different systems and pasting them into a template under deadline pressure?

We automate financial data extraction and report formatting: data pulled from your accounting software (Xero, QuickBooks, Sage) on a schedule, KPI dashboards refreshed automatically, accounts receivable and cash flow reports generated weekly, sales pipeline summaries pulled from your CRM and formatted into a ready-to-read document. Month-end and year-end preparation automated so the numbers are already there when you need them.

✓ Financial data extraction from Xero, QuickBooks, or Sage

✓ KPI dashboard automation — data pulled and formatted on a schedule

✓ Accounts receivable and cash flow report automation

✓ Sales pipeline data from CRM formatted into weekly summaries

✓ Month-end and year-end report preparation automation

Analysis and strategic interpretation of your data is available as a premium advisory service, separate to the automated reporting product — ask about this during your free review.

Best for: business owners spending hours per month manually pulling and formatting numbers from multiple systems.

Premium Service

Strategic Business Analysis & Advisory

We use AI to automatically pull your business data — sales, costs, margins, cashflow, pipeline — and turn it into clear analysis. Where other services stop at the report, this one includes Scott's direct interpretation: what the numbers mean, what the business should change, and what to prioritise.

This is not a software subscription. It is a working relationship with someone who understands both the data and how to act on it.

What the automated layer delivers

✓ Data extraction from Xero, QuickBooks, Sage, or your CRM on a defined schedule

✓ Automated KPI reports formatted and delivered without manual work

✓ Sales trend and margin analysis run automatically

✓ Cash flow and receivables reports generated on a schedule

✓ Variance reports flagging what has changed and by how much

What the advisory layer adds (Scott's time, charged separately)

✓ Personal review and interpretation of your automated reports

✓ Strategic recommendations — what to fix, cut, grow or reprice

✓ Monthly or quarterly review sessions

✓ Business improvement roadmap with prioritised actions

✓ Accountability check-ins against agreed targets

Suited for: Business owners who have the data but not the time or confidence to know what it's telling them. Also available as a standalone advisory engagement without the automation layer for businesses with existing reporting.

Advisory engagements are priced by scope and time. Contact us directly to discuss.

Not sure which category applies to your business?

We'll look at your specific operations and tell you exactly where to start.

How We Work Together

Every engagement follows the same five-step process. We've designed it to get your automation live as quickly as possible while making sure it actually fits how your business operates — not how a template assumes it does.

1

Discovery

Duration: 1–2 sessions (approx. 1–2 hours total)

Everything starts with understanding your business. Not just what you do, but how you do it — the real workflow, the workarounds, the things that take longer than they should, and the revenue that's slipping through the cracks.

In the discovery phase, we review your current operations, map your enquiry and fulfilment journey, identify where automation will deliver the most value, and establish baseline measurements so you can see the ROI clearly once the system is live.

What you get at the end of Discovery:

A written Opportunity Assessment showing the top automation opportunities, ranked by value and effort, with estimated monthly savings and a recommended starting point.

2

Design

Duration: 3–5 business days

We design the exact workflows that will be built — mapping every trigger, action, condition, and integration. You review and approve the design before any build work starts.

This stage exists to make sure there are no surprises. If something needs to change, it's far easier to change a diagram than a live system.

What you get at the end of Design:

Workflow diagrams and a Statement of Work confirming exactly what will be built, what it connects to, and what the acceptance criteria are.

3

Build

Duration: Typically 5–15 business days depending on complexity

We build, configure, and internally test every workflow. You provide the content (message templates, business information) and access to your platforms. We handle everything technical.

You won't need to learn any new tools. You won't need to touch any settings. You just need to review the work when it's ready.

4

Launch

Duration: 1–2 days

Before anything goes live, we run a full end-to-end test with you on a live call. You see the automation running in real time. Any final adjustments are made. Then we flip the switch.

On go-live day, your workflows move to production. We monitor closely for the first 48 hours to catch any edge cases.

What you get at Launch:

A live system. A go-live summary of what's running. Baseline metrics recorded.

5

Manage

Ongoing — Monthly Managed Automation Service

After launch, the work isn't over — it just changes. We monitor your workflows every month, handle any repairs caused by platform updates, optimise performance as needed, and deliver a monthly report showing exactly what the automation has achieved.

If you're growing and want to add new automations, we can scope and quote new workflows while the existing ones keep running.

What you get each month:

A performance report. A monitored, maintained system. A named person who knows your automations and your business.

Managed Automation Service

Your automation, maintained. Performance tracked. Problems handled before you even notice them.

Building an automation is only the beginning. The value comes from it running reliably, month after month, improving over time, and being managed by someone who knows your business.

The Managed Automation Service is designed for business owners who want automation done properly — not just built and forgotten.

What's included every month

Monitoring & Maintenance

Your workflows are health-checked daily. If something breaks — because a platform updated its API, a connection timed out, or anything else — we know before you do. Most issues are resolved within one business day.

Minor Optimisations (up to 2 hrs/month)

Automation isn't set-and-forget. Message timing, filter logic, notification wording — small adjustments make big differences to results. Two hours per month of optimisation time is included to keep your workflows performing at their best.

Monthly Performance Report

By the 7th of every month, you receive a report covering: workflow run volumes, error rates, hours saved, estimated value generated, response time improvements, and any recommendations for the next month.

Email Support (Business Hours)

Direct email access during Mon–Fri business hours. Response within one business day. For genuine emergencies (total workflow failure affecting live operations), emergency response within 4 business hours.

Platform Management

We manage API credentials, handle third-party platform changes that affect your workflows, and give you advance notice of any cost changes from platform providers.

Named Point of Contact

You always deal with us directly. No support tickets, no offshore helpdesk. The person who built your automations is the person who maintains them.

Transparent, simple pricing

The Managed Automation Service is priced at 20% of your implementation fee per month. Implementation fees are quoted by scope — every business is different. The table below shows example monthly costs across a range of investment levels.

Implementation Fee Monthly MAS
$1,500 — single workflow starter$300/month
$2,500 — two-workflow package$500/month
$4,000 — multi-workflow system$800/month
$6,000 — full department automation$1,200/month
$8,000+ — end-to-end operating system$1,600+/month

Common Questions

Is the Managed Service required, or is it optional?

+
It's optional. You can choose to receive just the implementation (build and launch) with no ongoing management. However, most clients find that having a managed service significantly increases the value they get from automation — because small issues get caught early, optimisations accumulate, and you always have someone to call.

What if I want to add a new automation later?

+
New workflows are quoted separately as new implementation engagements. Your existing MAS continues running on your current automations. Adding a new workflow adds its own MAS component to your monthly investment.

What counts as a "minor change" vs something that requires a new quote?

+
Minor changes (included): message wording, notification timing adjustments, adding a recipient, minor filter changes. Substantial changes (new quote): new integrations, new workflow branches, changing the purpose of an automation, anything requiring more than 2 hours. When in doubt, we will tell you upfront which category applies.

Can I pause the Managed Service?

+
After the minimum term, the service can be cancelled with 30 days' notice. Pausing (temporary suspension) is available by arrangement — contact us to discuss.

What happens to my automations if I cancel?

+
They continue running exactly as built. We provide a full handover document so you can manage them yourself or hand them to another provider. You own everything that was built.

The best way to understand whether the Managed Service is right for you is to have the conversation.

About Scott

Founder, Emmett Automations — Las Vegas, NV

I started and scaled multiple businesses in the UK with a combined turnover of $30m. I know what it takes to grow a service business — and exactly where manual processes start costing you money at scale.

Now based in Las Vegas, I build practical automation systems that give small business owners their time back. No tech overwhelm. No generic templates. Just systems that work for how your business actually runs.

Scott Emmett is the founder of Emmett Automations and the person you will be working with directly — from your first conversation through to launch and beyond.

There are no account managers, no offshore teams and no handoffs. When you work with Emmett Automations, you work with Scott.

Built from real business experience

Before founding Emmett Automations, Scott started and scaled multiple businesses in the UK across services, operations, and professional services sectors — achieving a combined turnover of $30m.

That experience gave him a ground-level understanding of what it actually takes to run and grow a business: managing enquiry volume, keeping service quality consistent across a team, handling the invoicing and admin backlog that builds up every week, and trying to grow without everything falling on one person.

He also saw firsthand what happens when businesses outgrow their manual processes — and how much time and money gets lost before anyone admits there is a better way.

Emmett Automations is built on that experience. The systems Scott designs are not theoretical. They are the systems he would have wanted when he was running those businesses.

Hands-on from start to finish

Scott is involved at every stage:

  • Discovery — Scott takes the time to understand how your business actually runs, not just how it looks on paper. He maps your current processes, identifies where time is being lost and finds the automations that will make the biggest difference.
  • Design — Every solution is designed specifically for your business. Scott builds the workflow logic, connects your existing tools and makes sure the automation fits how you and your team actually work.
  • Build and testing — Scott configures, tests and refines every automation before it goes live. If something does not work exactly right, it does not go live.
  • Launch — You are walked through everything before go-live. Scott trains you (and your team if needed) on what has changed, what to expect and how to get the most from the new system.
  • Ongoing — The Managed Automation Service means Scott stays involved after launch. He monitors performance, makes adjustments as your business changes and is your first call if anything needs attention.

Why this matters

Automation only delivers results when it is configured correctly for the specific business using it. Generic tools installed generically produce generic results. Scott's hands-on approach means every system is built to solve your specific problem — and tuned until it does.

Based in Las Vegas, NV. Working with small businesses across the US.

“I started Emmett Automations because I kept seeing small businesses losing enquiries, drowning in admin and paying for staff time on tasks a well-built system could handle in seconds. My goal is simple: practical automation that makes a measurable difference to how your business runs.”
— Scott Emmett, Founder

“If any of this sounds like what your business needs, let's have a conversation.”

Frequently Asked Questions

Honest answers to the questions small business owners ask most often before getting started with automation.

Q1: What exactly does Emmett Automations do?

+
We design, build, and manage automation systems for small businesses. That means we take the repetitive processes in your business — following up on enquiries, sending appointment reminders, chasing invoices, requesting reviews, onboarding new clients — and we make them happen automatically.

We don't sell software. We don't run training courses. We build and manage the actual systems in your business.

Q2: I'm not technical. Can I still use this?

+
Absolutely — and that's specifically why Emmett Automations exists. You don't need to understand how any of this works under the hood. We handle all the technical work. Your job is to describe how your business operates and what you want to achieve. Everything else is handled.

Q3: How is this different from just buying software like Zapier or Make.com?

+
Buying the software is the easy part. Most business owners buy automation tools, spend a weekend trying to figure them out, and end up with something broken or half-built that they're afraid to touch.

Our job is to build the right system, built correctly, configured for your specific workflows — and then keep it running. You get the result, not the homework.

Q4: How much does it cost?

+
Every engagement is different because every business is different. Implementation fees are fixed-price quotes based on the scope of work — typically ranging from $1,500 for a single workflow to $8,000+ for a full multi-workflow operating system.

The Managed Automation Service is priced at 20% of your implementation fee per month. Third-party platform costs are shown separately and passed through at cost.

The best way to understand what your specific situation would cost is a free 20-minute review.

Q5: How long does implementation take?

+
A single workflow implementation is typically 1–2 weeks from signed Statement of Work to go-live. Multi-workflow packages typically take 3–6 weeks. The timeline depends on the complexity of the workflows and how quickly we can get platform access and content from you.

We will give you a specific timeline in the proposal before you commit.

Q6: What platforms do you work with?

+
Most common platforms are supported. This includes: Make.com (workflow automation), GoHighLevel (CRM and marketing), Google Workspace, Calendly, Acuity, QuickBooks, Xero, Slack, Microsoft Teams, HubSpot, Mailchimp, ActiveCampaign, Typeform, JotForm, and most platforms that have an API.

If you use something not on that list, We will check compatibility during the free review.

Q7: Do I need to change the software I already use?

+
Not necessarily. We work with most existing tools. Our goal is to fit the automation around how your business already works, not to replace everything and start from scratch. Sometimes a new platform is the right move — but it's never the starting assumption.

Q8: What if something breaks?

+
If you're on the Managed Automation Service, We monitor your workflows daily and respond to any failures within one business day. Most issues are caused by third-party platform changes (an API update, a plan change) — these are handled within the included service. If a workflow breaks and it was caused by something on our end, it's fixed at no additional cost.

Q9: Who owns the automations once they're built?

+
You do. Everything we build for your business belongs to you. If you ever decide to cancel the Managed Service, we provide a full handover document so you can manage the automations yourself or pass them to anyone else. There's no lock-in.

Q10: Do you work with businesses outside Nevada?

+
Yes. All discovery calls and ongoing communication are by video call or email, which means We work with businesses across the US. If you're based in Henderson or the Las Vegas area, in-person meetings can also be arranged.

Q11: How do I know if the automation is actually working?

+
Every engagement starts with a baseline measurement — hours per task, response times, enquiry volumes. The monthly performance report shows exactly what's running, how many times, and what the measurable impact has been. If you're not seeing improvement, We will tell you why and what to change.

Q12: Is this only for big businesses? My business is just me and one other person.

+
Two-person businesses are often the best fit for automation precisely because every hour matters most when you're small. You don't have a team to absorb the admin — you're doing it yourself. Automating even one or two repetitive processes in a small business can free up 5–10 hours a week. That's time that goes directly to serving customers or building the business.

Q13: Do you work with Amazon sellers?

+
Yes. We build automation systems specifically for small businesses selling on Amazon — covering product listing optimisation, order processing workflows, post-purchase review request sequences, inventory alerts, and competitor price monitoring. If you're spending hours on manual Seller Central admin, there's a strong case for automation. Bring it up in your free review and We will tell you what's achievable for your specific setup.

Q14: Can you connect to our phone system?

+
Yes. We build automated telephone systems that handle out-of-hours and overflow calls — including AI-powered call answering, intelligent IVR routing, voicemail-to-text transcription, call summaries, and missed call follow-up via automatic SMS or email. These systems work alongside your existing phone number and are configured to match how your business operates. Compatibility with your current phone setup is confirmed during the free review.

Q15: Do you support both Google Workspace and Microsoft 365?

+
Yes — both platforms are fully supported. Our email AI drafting and automation work with Gmail (Google Workspace) and Outlook (Microsoft 365). If your team uses either platform, we can build AI-assisted email drafting, smart inbox triage, automated follow-up sequences, and draft responses for common enquiry types. You don't need to switch platforms or change how your team currently works.
